Out of our living room conversation on February 26 regarding Jer’s transition came a few questions and comments that we would like to address. This blog will be the first of many in the months to come to update you on the transition and upcoming hiring. Our goal is to be transparent and communicate all that we can in a timely fashion. In this first post, we would like to highlight four specific questions that arose at and after the Living Room Session:

During this transition, what will communication from Steward Team to the community look like?

  • An update from Steward Team will be posted on our blog within a week following each Steward Team meeting (twice a month). This update will focus on our current process and key information our community should know. A link to the post will be found in the Pulse.
  • Monthly up-front updates will take place in our Gathering. The audio will be captured and posted to the blog.
  • Questions or comments about our staff transition can be sent to Ben Johanson (ben@abluedoor.com). We will set aside time each meeting to discuss these, and any other, questions/comments that have been brought to our attention.

How did the decision to call Dave as Directional Leader come to pass?

  • Steward Team & Hiring Team knew Jer was considering a transition in the coming years and thus both teams considered each candidate for the Pastor of Community Formation with this in mind. During Dave’s hiring process, Jer’s eventual transition was communicated and he accepted his position with this knowledge.
  • When the timeline of Jer’s transition became clear, a discernment process for Dave and Krissy, Steward Team and staff began in which we prayed and discussed Open Door’s next directional leader. Dave’s skills, passions, embodiment of family and previous experience led to a shared conclusion that Dave’s leadership is what we are seeking in the next season of Open Door.
  • In light of this decision, Steward Team wrote a letter inviting Dave to become our next Directional Leader. The letter affirmed Dave’s call to Open Door and spoke of his leadership up until this point as well as what we see in his future.
  • A transition timeline has been discussed with Dave assuming more of the responsibilities of the Directional Leader over the coming months and a formal commissioning on June 21. Jer will be sent by the community the following week (June 28).

What are your next steps toward hiring?

  • Heidi Brandow is in conversation with Dave and Elizabeth to develop staffing options. The next steps are as follows:
    • Heidi met with Dave and Elizabeth this past week (week of March 2) to develop two or three staffing recommendations, taking into consideration our current staff’s strengths and the present and growing needs of Open Door.
    • During Steward Team’s meeting on March 16, Heidi will present the recommendations.
    • After our meeting, Heidi, Dave, and Elizabeth will meet again to discuss and refine the recommendations.

Where are we at financially?

  • Because of the community’s faithfulness we are able to have these transition conversations unconstrained by our financial situation as we have been operating in the black for the fiscal year.
  • We will be putting new avenues of communication into place to provide financial updates to the community. Our intention is for the information to be accessible both on our website and in our Gathering.

Hiring Now: Pastor of Community Formation

New Hire Communication & Next Steps

Friends: 11 months ago (January, 2013), Steward Team had determined that it was mission critical for us to expand our staff and that our next hire would be a Pastor/Shepherd. As the year progressed, our mission of cultivating Jesus followers expanded beyond our Gathering to include Circles.  Our Gathering is designed to help us become a Worshipping Family while Circles are designed to help us become a Family on Mission.  We are watching as the fusion of these two expressions along with the mobilizing of Pastor/Shepherds within our community is contributing to the care & holistic cultivation of Jesus Followers who are Rooted, Woven, Extending, & Cultivating. The growth & fruit is obvious as is the impact beyond the immediate Open Door Community, but so much more is possible.

As Steward Team explored the Pastor/Shepherd hire with Open Door through four Living Room Sessions in January and one Round Table Conversation in April, two things became clear:

  1. Expanding & diversifying our staff to equip & mobilize Open Door into our mission of cultivating Jesus Followers is essential.
  2. The hunch that the new staff member needed to be a Pastor/Shepherd came more from a desire to compensate for where we felt deficient than forming a staff that mobilizes and equips the community for mission.

In October, Steward Team dedicated its entire weekend-long retreat to clarifying how our mission is lived out and determining how that mission is best supported with staff. After consulting with a team of non-profit organizational experts (Dave & Maya Smith, Kate Schwass) and past elders (Tim Halls, Kerry O'Brien), Steward Team has concluded that we are moving forward to expand our paid staff from 1.5 to 2.5 people.  Our paid staff will include Jer, Elizabeth, and our New Hire.

  • 1.5 staff will be dedicated to helping us become a Worshipping Family and will focus on equipping and mobilizing people for ministry in and through our Gatherings.
  • 1 staff will be dedicated to helping us become a Family on Mission and will focus on equipping and mobilizing people into mission within the spaces we live/work/play through Circles.

Here are the immediate next steps:

  1. Job Descriptions will be finalized by Steward Team.  Our goal is to have this completed by the end of the year.
  2. Kate Schwass has been invited to and has accepted the role of co-leading our Hiring Team.  The Hiring Team will be in place by mid-January and will begin their work of developing our hiring process and casting the net internally and externally for the appropriate candidates.
  3. Our desire is to have our new hire in place by the end of April, 2014.

Here are the financial implications:

  1. We will need to bring in $15,700 monthly in order to successfully & adequately staff our mission.  This will require a monthly increase of $4,700.
  2. In the meantime, we have a runway to help us fund this increase due to the Reserve Account that has been building for more than two years. While this is helpful, when we deplete the Reserve Account, it's gone, making this a significant risk that we're willing to take.

  2. Wanted! An ODC Kids Coordinator

With the insurgence of young families & kids into our community, we're currently looking to hire a part-time ODC Kids Coordinator role.  You should be someone who loves Jesus, is organized, is an empowering leader, and who is relationally assertive. Read what follows for an understanding of the role, the time commitment, the desired competencies, and the next steps.

PURPOSE: To coordinate the implementation of ODC Kids.

TIME COMMITMENT: 4-5 hours per week with a monthly stipend

KEY RESPONSIBILITIES:

  1. I. Resource, Encourage, & Equip the ODC Kids Core Team
    1. Schedule and facilitate the bi-monthly planning meeting with ODC Kids Core Team
    2. Oversee the ODC Kids Master Schedule
    3. Oversee the planning of volunteer trainings & appreciation
    4. Manage the ODC Kids Supplies Inventory
    5. Research new curriculum
  1. II. Recruiting, Training, & Oversight
    1. Develop recruiting strategies with ODC Kids Core Team
    2. Organize & execute application process & Initiate background checks for new volunteers
    3. Assist, Support & Resource the facilitation of ODC Kids Volunteer Training
    4. Develop & implement process for addressing volunteer misconduct and/or child misbehavior.
  1. III. Communication
    1. Receive & respond to incoming online inquiries regarding ODC Kids
    2. Facilitate online forum (dropbox) for ODC Kids Core Team to resource share & communicate
    3. Design monthly e-newsletter for all families
    4. Handle all communications with St. Paul’s regarding ODC Kids facility needs
    5. Act as the Liason between the ODC Kids Team and Lead Team

KEY CONVERSATIONS:

  1. Bi-Monthly ODC Kids Core Team Meeting (Sunday, 3:15-4:15pm)
  2. Monthly Leadership Team Meeting
  3. With Lead Pastor of Open Door (as needed)

(2013) Mission Critical Hunch #3

If we invest in Holistic Cultivation now we will soon be able to afford the staff that we need but can’t currently support. To bring in the new person who will help us grow, who will grow with us, and who will invest in our cultivation, soul care, & community development we will need to pay another salary.  Giving more right now is an investment, not just in the mission of The ODC, but also in the lives of those who are leading The ODC, who live & work in the East Bay & beyond, and in the many more who will become apart of our community.
